EU AI Act in Odoo: the governance register for your AI systems

The EU Artificial Intelligence Act requires any organisation that uses or deploys AI to know which systems it has, what they are used for, at what risk level and under which controls. Keeping that in scattered spreadsheets will not survive an audit. This Odoo module maintains a single, centralised governance register: an AI system inventory, risk classification and compliance evidence, inside the same ERP you already work in. Built for Odoo 17, 18 and 19.

The real problem of AI governance

The EU AI Act does not just ask whether you use AI: it asks whether you know which systems you have, who is accountable for them and what risk they pose. Most organisations have no single, centralised picture, and rebuilding it every time a client, an auditor or a legal requirement shows up is slow and fragile.

Nobody knows how many AIs are in the building

Chatbots, scoring models, automations, SaaS tools with AI baked in, in-house models — they appear team by team with no single inventory. When you have to declare which AI systems are in use, nobody has the full list.

Risk is never formally classified

The Regulation sorts systems by risk level, but without a formal register that classification lives in someone's head or buried in an email thread. There is no record of who decided what, or why.

The evidence is scattered everywhere

Documentation, owners and controls spread across folders, spreadsheets and inboxes. When an audit or a demanding customer asks, proving governance turns into a scramble against the clock.

What the module does inside Odoo

It does not certify your compliance or replace legal judgement. It does the concrete, useful part: keeping the governance register of your AI systems — their risk, their owners and their evidence — in an orderly, audit-ready way inside Odoo.

AI system inventory with roles and lifecycle

Record every AI system you use or deploy with its purpose, your organisation's role (provider, deployer), the owner, the vendor and its lifecycle state, in a single list inside Odoo.

Risk classification

Assign each system its risk level following the EU AI Act criteria and keep a record of the assessment, so the decision stays traceable instead of living in one person's memory.

Evidence and controls register

Attach to each system its documentation, the controls applied and the people responsible, so governance evidence is centralised and ready to review or audit at any time.

Consolidated view for audits

Browse the full AI governance register from Odoo, with each system's state, risk level and evidence, without rebuilding it by hand every time someone asks for it.

FRIA: fundamental rights impact assessment

Document the fundamental rights impact assessment (FRIA) that the Regulation foresees for certain high-risk systems, and keep it linked to the system it assesses.

Incident log

Log incidents tied to each AI system and follow them up inside Odoo, so no serious malfunction or incident gets lost in a loose email.

Obligations and deadlines per system

Attach to each system its obligations under the Regulation and the deadlines that apply, with their status, so you can see at a glance what is due and what is missing.

Transparency notices and audit snapshots

Manage the transparency notices of your AI systems and take snapshots of the register as evidence of how your governance stood at any given point in time.

The person who builds the module is the one who answers you

FlexigoTech is Flexibles y Accesorios Gobe, S.L., based in Barcelona. The module is built by a single developer, so when you ask something about the EU AI Act or the governance register you talk directly to the person who wrote the code — not a salesperson and not a first-line support desk forwarding tickets.

What it does and what it doesn't

It is a native Odoo module (17, 18 and 19), with no external platform to maintain and no extra SaaS fee. We don't invent reviews or customer stories and we don't certify compliance: the tool inventories your AI systems, classifies their risk and stores the evidence in an orderly way. The legal assessment and the responsibility for EU AI Act compliance stay with your organisation — and we tell you that before you buy, not after.

If the EU AI Act brought you here, this matters too

AI governance rarely travels alone. It usually shows up next to the need to get privacy, compliance and traceability in order inside a single Odoo.

Questions that usually come up with the EU AI Act

What is the EU AI Act governance register?

The EU Artificial Intelligence Act (Regulation 2024/1689) requires organisations that deploy or develop AI systems to keep documentation and traceability of which systems they use, what for, at what risk level and with which controls. A governance register is the centralised inventory of that information. This module keeps that register inside Odoo, instead of in scattered spreadsheets.

Does the module make me EU AI Act compliant on its own?

No. No software makes you compliant with the AI Act by itself. The module is a record-keeping and traceability tool: it helps you inventory your AI systems, classify their risk and store the evidence in an orderly, audit-ready way inside Odoo. The legal assessment and the responsibility for compliance stay with your organisation and, where relevant, your advisor.

Does it work with Odoo Community?

Yes. The module runs on both Odoo Community and Enterprise editions, and it targets Odoo 17, 18 and 19. It does not depend on any Enterprise-only app, so a plain Community install is enough to keep your AI governance register.

Which organisations is it a fit for?

For organisations that already use or deploy AI systems (vendors, chatbots, scoring, automations, in-house models) and need to demonstrate governance to clients, auditors or the Regulation itself, without standing up a separate GRC platform. If you already run Odoo, the register lives in the same ERP as your processes.

Can I try it before buying?

Yes. We run a live demo: a real Odoo 19 with the module installed and no sign-up (user demo, password flexigodemo), where you can create AI systems, assign their risk level and browse the governance register. Once you are sure, you buy the licence on the Odoo App Store and, if you need it, we help you set it up.

How much does it cost and are there recurring fees?

It is a one-time 49 EUR purchase on the Odoo App Store, source code included under the OPL-1 licence. There is no SaaS subscription and no per-user fee. You buy once, install it in your own Odoo and it is yours.

The EU AI Act will ask you to know which AI you use and at what risk.

The only question is whether you keep it in loose spreadsheets or settle it inside Odoo. Tell us which AI systems you use and we'll tell you straight whether the module fits.
